Job Title: Executive Secretary
Location: Head Office, Karachi
Age: 30-45 years
Education and/or Qualifications: Bachelors of Commerce/Arts
Salary Range (PKR): Market Compatible
Experience: Minimum 1 year in an administrative or secretarial role
Maximum: 5 years in a similar position

Job Description

  1. Provide administrative and clerical support.
  2. Schedule and coordinate meetings and arrange conference rooms; meet and greet visitors.
  3. Make local and international travel and accommodation arrangements, including visa applications.
  4. Handle information requests.
  5. Coordinate office management activities and plans/assist in events or activities .
  6. Maintain hard copy and electronic filing system for all relevant documents.
  7. Manage schedule/calendar; alert about cancelations or new meetings, prepare agenda and files for meetings.
  8. Prepare correspondence and manage/arrange incoming and outgoing mail.
  9. Prepare periodic reports on personal expenses, salary and other income, taxes and zakat/donations, including monthly reconciliation of bank statements, any tax adjustments etc.
  10. Track memberships and affiliations for any actions (renewals etc.) .
  11. Monitor upkeep and maintenance of assets such as vehicles etc.
  12. Determine matters of priority and handle accordingly.
  13. Prepare and handle confidential documents, maintain and file updated procedure manuals and scan and/or photocopy any document as required.
  14. Coordinate and compile tax returns.
  15. Responsible for the upkeep, maintenance and access control of the office, maintenance of basic supplies such as stationery and coffee and coordinating maintenance activities for office equipment with IT or Administration departments.
  16. Taking and transcribing dictation.
  17. Coordinate papers and track relevant actions arising from meetings of committees and task forces.
  18. Relay messages, directives or assignments to members of team, as applicable.

Job Title: Trainee Officer Payroll and Employee Funds
Location: Head Office, Karachi
Age: 22 to 26 years
Education and/or Qualifications: ACCA Part Qualified / B.Com
Experience: Fresh or up to 1 year

Job Description

  1. Prepare monthly payroll register of all divisions after obtaining the attendance and time details (including leave without pay, medical reimbursements etc.) from Administration department.
  2. Run the payroll register provisionally to ensure the correctness and accuracy of salary including PF contribution, tax deduction, etc. and resolve the discrepancies/issues occurred during the provisional run.
  3. Prepare and reconcile salary related accounts in general ledger.
  4. Prepare quarterly, half yearly and annual payroll related schedule.
  5. Prepare and upload staff income tax report on FBR website on monthly basis and fill PSID form and ensure CPR is obtained from FBR.
  6. Prepare monthly and annual payroll budget of all business units.
  7. Make provisions for incentives / bonus and leave encashment through JV posting as per Company’s approved human resource policies.
  8. Prepare the disclosure of key management personnel remuneration for the purpose of financial statements.
  9. Review the disclosure of key management personnel remuneration for the purpose of financial statements.
  10. Coordinate with outsourcing company/external auditor for funds related matters.
  11. Preparation of financial statement for funds.
  12. Preparation of working for investment of funds.
